Why export rideshare records?
Google Sheets gives drivers and advisers a familiar place to sort, filter, annotate and compare records. It can support monthly reconciliation, identify missing days, group expenses by category or provide detailed lines behind a report.
The export should complement the source data, not become a disconnected second system that is edited until nobody knows which version is correct.
Prepare the data first
Complete missing trip locations, times, distance and actual fares. Resolve obvious duplicate entries. Record bonuses and other income separately. For expenses, verify supplier, date, amount, GST and business-use percentage. Review disputed and corrected fares so the sheet communicates the history accurately.
How the EarningsPilotAU sync works
- Record or import trips and add expense entries in the app.
- Review the date range and resolve exceptions.
- Use Google Sheets sync for trips and expenses.
- Open the formatted output and check the Australian currency values and discrepancy indicators.
- Compare totals against platform statements and source receipts.
The structured columns reduce manual formatting, while the export gives you freedom to add review notes or build pivots without changing the source entries in the app.
Useful spreadsheet checks
- Filter for missing pickup or drop-off information.
- Sort by discrepancy to investigate unusual fares.
- Compare weekly trip totals with platform summaries.
- Group expenses by category and GST status.
- Check monthly income against bank deposits while accounting for platform deductions.
Sharing with an accountant
Ask which columns, period and source documents the accountant wants. Share the sheet with appropriate permissions and retain receipts, platform statements and logbook records. A spreadsheet is easier to review when categories are consistent and unusual transactions have short notes.
Do not email a public edit link containing sensitive financial or location data. Use Google’s access controls and remove access when it is no longer required.
Keep one repeatable rhythm
Sync and reconcile weekly or monthly instead of waiting until EOFY. Regular checks find missing records while they are still recoverable and keep BAS and income reports aligned with the same source history.
